Repository Assistant | Kaiāwhina Pātaka Taonga

The role will see you:
- Overseeing the physical safety and security of collections through the maintenance of archival environments and adherence to archival standards of storage, handling, access, logistics and record keeping.
- Supporting the maintenance of our repositories, physical safety of our collections and collection retrieval processes.
- Monitoring the services of external contractors ensuring regularity of visits and supervising where required.
- Supporting large-scale collection movements.
- Supporting site administration at the Archive’s Avalon / Motutawa facility in Lower Hutt.
About you
We’re looking for someone who is excited by the idea of joining the Repositories and Facilities team to improve our physical collection care, including future housing, safety and security. Knowledge of archival standards for the safe storage, handling and access to collections are therefore integral to success in this role.
We’re looking for someone with:
- Three or more years’ experience working with archival material.
- Experience in accurately recording technical and descriptive metadata.
- Experience with vault monitoring equipment and reporting.
- Excellent verbal and written communication skills.
- The ability to operate with discretion and integrity.
- A commitment to archival ethos, practice and standards.
- A high standard of relationship management and communication.
- Comfort operating in a tikanga / Kaupapa Māori environment.
- Experience in Microsoft Office suite.
- Full NZ Drivers’ Licence.

The role will see you:
- Be responsible for the delivery of physical retrievals across service-level support and special projects with the support of the Manager Facilities and Repository.
- Carry out project-based, specific accessioning, rights clearance, re-housing and cataloguing tasks across both backlogs and new collection items.
- Ensure the appropriate housing, physical safety and security of collections through the maintenance of archival environments and in adherence to archival standards of storage, handling and logistics.
- Contribute to the development of collection handling, movement and access procedures in line with agreed collection management practices, and to the development of tikanga around collection care, movement and handling
- Improve location control data and systems for the Archive’s physical holdings.
- Support large-scale collection movements and lead collection searches, vault mapping exercises and audits.
About you

The role will see you:
- Be responsible for the maintenance and smooth running of facility management and contractor operations across Ngā Taonga properties.
- Monitor and schedule work on Ngā Taonga repository premises, with a home base and primary focus on the Archive’s Avalon / Motutawa facility in Lower Hutt.
- Oversee on-site security access, rostering and approvals for locking and alarm-setting regimes.
- Coordinate coverage for after hours and emergency access to Ngā Taonga sites.
- Support the Repository Assistant to cover vault management and retrieval requirements.
- Maintain building compliance regimes, maintenance and cleaning of vaults schedules.

About you
We’re looking for someone who is excited by the idea of joining the Repositories and Facilities team to improve facilities management across our properties. A strong prior knowledge of facilities management for security, maintenance, compliance and logistics are therefore integral to success in this role. As an experienced Senior Coordinator you will develop workplace practices that improve Ngā Taonga operations and performance, as well as overseeing and co-ordinating all contractor activity across Ngā Taonga repository spaces and supporting and scheduling for planned collection movements.
We’re looking for someone with:
- Five or more years’ experience in facilities management.
- Understanding of storage and controlled climate environments.
- Experience managing logistics for high value assets.
- Experience in project methodology.
- Demonstrated communication skills.
- Understanding of health and safety regulations and systems.
- Experience with procurement processes.
- A Full NZ Drivers’ Licence.
